Wholesale Coordinator
Position Overview
The Wholesale Coordinator plays a key role within our Sales & Operations team, supporting the full wholesale order lifecycle and ensuring a seamless, service-driven experience for our partners. The role acts as a central link between Sales, Logistics and Finance, managing accurate order entry, in-season order adjustments, and the timely handling of returns and claims. With strong attention to detail and a proactive mindset, the Wholesale Coordinator ensures high-quality data in ERP and CRM systems, drives clear and timely partner communication, and contributes to continuous improvements in operational processes.

Primary Objectives
Ensure an accurate execution of the wholesale order lifecycle by maintaining high-quality system data, coordinating across teams, and securing timely deliveries and issue resolution.
Provide a best-in-class partner experience through proactive communication, solution-oriented support, and continuous improvement of operational processes that strengthen commercial performance.
Core Responsibilities
Customer Service & Partner Support
Act as the primary operational contact for wholesale partners, ensuring timely, accurate, and solution-oriented support across email and phone communication.
Build and maintain strong relationships with partners, providing day-to-day support on products, deliveries, claims, and business needs.
Manage and resolve product claims, coordinating with Product Development to enable quality improvements and prevent reoccurring issues.
Oversee return processes, ensuring they are initiated, documented, and completed on time.
Maintain accurate partner and account information in CRM, ERP, B2B systems to support account management and reporting.
Participate in partner check-in and trade meetings together with Sales Managers, providing operational insights and follow-up actions.
Monitor partner satisfaction and help identify service gaps and improvement opportunities.
Sales Operations
Secure accurate entry and validation of seasonal pre-orders in the ERP system (Business Central) before order deadlines.
Administer and manage sales orders throughout the season, ensuring smooth order flow across NuORDER and the ERP system, including updates, cancellations, and delivery coordination.
Proactively drive in-season re-orders to maximize sales and profitability within the region.
Provide Sales Managers with orderbook analyses and delivery updates
Monitor orderbook health, highlighting risks or opportunities related to stock availability, delivery timelines, and partner commitments.
Collaborate with Logistics and Warehouse teams to ensure smooth delivery flows and resolve delivery-related issues.
Support demand planning by sharing partner trends, feedback, and order insights.
Systems, Data & Operational Administration
Maintain accurate customer data and account setup in ERP, B2B and CRM systems, coordinating with Finance regarding credit checks and required documentation.
Support Finance with Accounts Receivable follow-ups by communicating outstanding invoices and helping resolve payment issues in cooperation with the sales team.
Ensure all operational data (orders, deliveries, claims, customer details) is up to date to support internal reporting and decision-making.
Develop, update, and maintain internal process documentation related to order handling and customer service workflows.
Participate in system enhancements or new tool implementations, including testing and training as needed.
Produce routine and ad-hoc operational reports covering sales performance, delivery KPIs, partner performance, and order status.
Desired Qualifications & Attributes
Experience in wholesale operations, customer service, sales coordination, or similar roles—preferably within the fashion, apparel, or consumer goods industry.
Strong communication and relationship-building skills with a customer-first mindset.
High level of accuracy, structure, and attention to detail across all tasks.
Ability to manage multiple deadlines, prioritize effectively, and thrive in a fast-paced environment.
Confidence working in ERP and CRM systems (experience with Business Central and Power BI is an advantage).
Solid Excel skills and general system fluency.
Proactive attitude with strong problem-solving abilities.
Fluent in English. (Fluent in German are meriting)
